Administrative Assistant/Receptionist


Position Reports To: Director of Finance and Operations

Position Summary

Performs general receptionist functions including greeting and referring visitors, receiving and transferring telephone calls, taking messages, sorting and distributing mail and performing general clerical work. Duties may include scheduling facilities, handling of bulk mailings, photocopying and duplicating of materials, performing data entry of parish member information and contributions, and providing a variety of other clerical services. Requires office administrative and receptionist experience.

General Duties & Responsibilities

•Provide reception service for parish office, welcome and greet visitors

•Answer phones, take messages and refer callers to appropriate person

•Register new parishioners

•Perform data entry of parish member information and contribution records.

•Assist with copy work and trains others how to use office/clerical equipment

•Provide typing services, handle general correspondence and clerical support

•Receive and process requests for Masses and schedule Mass intentions. Assist with scheduling of parish facilities and maintaining parish event calendars.

•Other administrative asst. duties as assigned

Knowledge & Experience Requirements

•Previous office/receptionist experience preferred

•High School Diploma or equivalent

•Familiarity with use of office equipment such as a computer, telephone, fax machine and copier are required

•Type at a minimum rate of 40 WPM

•Experience working with the general public

Skills & Attitudes Required for Success in Job

•General knowledge and support of the Catholic Church, Catholic sacraments, Catholic rites and liturgies

•Must be able to display positive, pleasant and productive attitude in working with staff and visitors to the parish office. Requires ability to work in stressful or emotional circumstances at times.

•Must have ability to communicate verbally and in writing

•Must have ability to maintain confidentiality in all matters

•Must be organized and able to function effectively with minimal supervision an environment that can be both slow and fast-paced at times. Must be able to meet deadlines.

•Must have basic knowledge of how the parish operates and be able to quickly grasp parish office functions

•Must be willing to work a flexible schedule

Relationships Requirements

•Will work closely with the Pastor and parish employees

•Will have frequent interaction with parishioners and visitors
