We currently have a part-time Administrative Assistant opening that supports the Office of Marriage and Family Life in coordinating and executing key activities of the office including, but not limited to, communication and correspondence, processing registrations, and maintaining the database for Marriage Preparation classes and Marriage Enrichment resources. Additionally, under general direction, the administrative assistant handles social media communications, website updates, and coordinates event activities including the annual Gold & Silver Jubilee Mass that enrich the work of the Office's parish-support and evangelizing mission.
Duties & Responsibilities
•Handles communications and prepares resources for Marriage Preparation classes. This activity includes coordinating the logistical needs, managing the Marriage Preparation database, completing class registrations, printing class materials, confirming addresses and mailing resources or class set-up for each marriage preparation class, preparing class certificates, closing class registration on the website, and maintaining a record of resource stock (workbooks, etc.), notifying management when stock needs to be replenished.
•Provides hospitality services (class set-up, snacks and drinks replenished, presentation of boxed food catering, and room clean up) on the day of each class for in-person Marriage Preparation classes when presented at the Cardinal Rigali Center.
•Responds to inquiries (phone calls, emails, etc.) regarding marriage preparation, conferences, and other activities of the office.
•Monitors Marriage Preparation registrations for prior marriage, special requests by engaged couples, lack of payment, and other registration irregularities. Notifies management when these situations occur and responds appropriately to these observations with prepared messages.
•Initiates correspondence from arranged messages to follow-up after marriage preparation class, monthly anniversaries congratulatory and evangelization messages, payment reminders, and other routine messages as required.
•Manage email and social media communications for the Office of Marriage and Family Life updating content and notifying management of correspondence for management’s reply.
•Publishes the monthly e-newsletter the Disciples’ Dispatch, including researching additional content, reaching out to potential advertisers, editing the newsletter, maintaining the Dispatch database, and emailing of the Disciples’ Dispatch.
•Serves as the primary event planner, promoter, and registrar for the annual Gold & Silver Jubilee Mass. Maintains the Jubilee database, sends reminders, and helps prepare (along with the Office of Sacred Worship) the missalette with attendee names and gift bags.
•Manage and maintain website content postings for the Office of Marriage and Family Life regarding current events, especially Marriage Preparation class activity, and other information and updates as needed.
•Other duties as assigned.
Knowledge & Experience Requirements
•Associate’s degree or equivalent education.
•Must be a practicing Catholic with knowledge of the Catholic Church, its structures, and how it functions; familiarity with its institutions, parishes.
•Competence with Microsoft Office Suite, especially Word, Excel, PowerPoint and Access.
•Two years prior experience with administrative work and event planning.
